Responsibilities

– Provide efficient organizational support to USDS GM and Security Office. Optimize time through effective calendar management, coordinating internal and external forums such as staff meetings and annual business planning reviews.
– Support all ad-hoc day-to-day activities for leadership and team members.
– Schedule and coordinate special events and meetings as needed (offsites, QBRs, all hands, business reviews, fireside chats, etc).
– Schedule and coordinate travel arrangements for executive leaders.
– Work with vendors and procurement on submitting SOWs, invoices, etc. Schedule quarterly business report meetings as needed.
– Manage team building budgets. Monitor balances, and give approval for requested spend. Order swag for teams as requested. Handle employee gifting for USDS leadership team, and Security and Privacy team members.


Required Qualifications

– 10+ years experience in office management and coordination.
– Proven ability to rapidly identify problems, analyze them, and deliver practical solutions to support leadership decisioning.
– Self-starter capable of driving forward critical initiatives and supporting multiple leaders.
– Ability to handle matters that are confidential.
– Must be able to work with minimal supervision and may provide guidance and direction to others in the department or in other departments.
– Substantial knowledge of the department’s operations, policies and company procedures.


Preferred Qualifications

– Flexibility to work early morning or late evenings as needed due to time zone differences.
– Must be able to work with employees in multiple roles and at all levels.
